Privacy for Microsoft Teams

Controller and service provider

The service provider is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, D18 P521, Ireland. Microsoft processes the data on our behalf under a data processing agreement pursuant to Article 28 GDPR.

Data processed

Depending on use, data processed includes display name, name, email address, profile picture if provided, chat, audio and video content, and technical metadata such as meeting details, IP address, device and log data. At least a name is required to participate. We do not record meetings.

Purpose and legal basis

Processing serves the agreed meeting. For contractual or pre-contractual meetings the legal basis is Article 6(1)(b) GDPR; otherwise it is Article 6(1)(f) GDPR. Our legitimate interest lies in efficient communication with business partners and prospective customers.

Storage location and international transfers

For customers in the EU, Microsoft generally stores and processes content such as chats and meeting data within the EU (EU Data Boundary). Processing in the United States, for example for support or diagnostic data, cannot be ruled out entirely. Microsoft Corporation is certified under the EU-U.S. Data Privacy Framework, which is covered by an adequacy decision of the European Commission of 10 July 2023. EU standard contractual clauses have also been agreed.

Retention

We delete personal data as soon as it is no longer required for the purpose of the meeting, unless statutory retention obligations apply.
